This step closes the feedback loop between the variance audit and the template design procedure. Without it, the audit produces a report that gets filed and forgotten. With it, the audit drives measurable changes to the scheduling system that reduce variance in subsequent periods.

- Payroll administrator access with export permissions
Set the pay period status to "locked" in EasyClocking by WorkEasy Software to prevent further edits to approved time entries. Locking the period is a control, not a convenience; it ensures that no time entries are added, modified, or deleted between the moment you begin the export process and the moment the file reaches payroll.
Before locking, confirm with all location managers that their time approvals are complete. Send a standardized notification with a firm deadline. Any entries submitted after the lock require an override from the payroll administrator, and overrides should be rare and documented.
If your organization runs bi-weekly or semi-monthly pay periods, verify that the lock date aligns with the pay period boundary. A lock that is set one day early or late captures the wrong set of punches, creating errors that only surface when employees review their paychecks.

Document any reconciliation discrepancy and its resolution. Even if the discrepancy is small and explainable, the documentation protects you if a downstream audit questions the payroll totals. A payroll export without a reconciliation check is a payroll export that trusts everything went right. This step verifies it.

7. Transmit to Payroll and Archive the Period
