5. Verify Overtime and Break Deductions

- Payroll platform overtime summary and time tracking overtime report for the same pay period
Beyond the spot-check, run a targeted review of overtime and break deduction accuracy across the full pay period. Pull the overtime summary from your payroll platform and compare it against the overtime report in your time tracking system. Confirm:
- Total overtime hours match between systems
- Overtime is coded correctly (OT1 vs. OT2, weekly vs. daily)
- No employee has overtime hours where none should exist (indicating a workweek mismatch)
- Break deductions are applied to the correct employee groups
Overtime and break deductions are the two rule categories most likely to miscalculate during a first sync because they depend on multiple interdependent settings (workweek definition, employee classification, state rules and connector priority order). A clean first-sync on these two categories is the strongest indicator that your configuration is correct.
Expected outcome: Overtime hours and break deductions match between both systems with correct pay code assignments for every employee class.
6. Resolve Any Discrepancies Before Processing
Prerequisites
- Spot-check and overtime/break review completed with discrepancies identified
For any record that does not match the baseline or the overtime/break review, trace the error to its source. The error will fall into one of three categories:
1. Timesheet entry error: The source data in the time tracking system is incorrect (e.g., a missed punch that was not corrected before approval). Fix the timesheet, re-approve and re-sync.
2. Field mapping error: The data left the time tracking system correctly but arrived incorrectly in payroll (e.g., a pay code transformation failed). Return to Procedure 2 and correct the mapping, then re-sync.
3. Rule configuration error: The data arrived in payroll but with incorrect calculations (e.g., overtime threshold set to 44 hours instead of 40). Return to Procedure 3 and correct the rule, then re-sync.
Do not process payroll with unresolved discrepancies. Every unresolved error on the first sync becomes a recurring error on every subsequent pay period until corrected.
Expected outcome: Every discrepancy is traced to its source, corrected and re-synced. No unresolved errors remain in the payroll pre-processing data.
7. Save the Sync Confirmation Report
Prerequisites
- All discrepancies resolved and final sync completed
Export the import log, spot-check results, overtime comparison and any discrepancy resolutions as the sync confirmation record for this pay period. Include:
- Sync timestamp
- Total record count (time tracking vs. payroll)
- Total hours by pay code (time tracking vs. payroll)
- Spot-check results for the selected employees
- Discrepancy log with resolution notes

This procedure detects and resolves discrepancies between time tracking records and payroll platform data on a recurring basis before each payroll run. It produces a drift log and resolution record that confirms accuracy and maintains an audit trail every pay period.

1. Pull the Pre-Processing Summary from Your Payroll Platform
Prerequisites
- Validated first sync completed per Procedure 4
- Access to both the time tracking system's approved timesheet records and the payroll platform's pre-processing data
- Defined tolerance threshold for acceptable variance (e.g., plus or minus zero minutes for hourly employees)
- Escalation contact for integration connector support
Before each payroll run, export or open the payroll platform's pending hours summary for the pay period. This summary should show:
- Total employees with time entries pending
- Total hours by pay code (regular, overtime, PTO, holiday)
- Total hours by department or cost center
In QuickBooks, access this through Payroll > Run Payroll and review the pre-processing preview. In ADP, open the Pay Data summary before finalizing. In Gusto, review the Payroll Preview screen.
Save or screenshot this summary before making any changes. You will compare it against the time tracking system's approved data in the next step. If your payroll platform does not offer a pre-processing summary, export the pending time entries as a CSV and calculate the totals manually. Place the payroll platform summary and the time tracking summary side by side. Confirm:
- Employee count matches: If the time tracking system shows 87 employees with approved time but the payroll platform shows 85 pending records, two employees' data did not arrive
- Total hours match within your defined tolerance: For hourly employees, the tolerance should be zero minutes. Any variance indicates a dropped record, a rounding discrepancy or a rule miscalculation
- No employees appear in one system but not the other: Check for new hires, terminated employees and employees who transferred between departments during the pay period
Flag every discrepancy immediately. Do not defer it to "next period." - A pay code that appears in payroll but was not expected (e.g., a "DT" double-time code appearing when no employee should have triggered double-time)
- A missing pay code (e.g., PTO hours that appear in time tracking but did not sync to payroll)
Pay code distribution checks catch configuration drift that record-count and total-hour comparisons miss. Two systems can show the same total hours but allocate those hours across different pay codes, which changes the payroll dollar amount significantly. This check is especially important after any change to overtime law, break policy or employee classification.
Expected outcome: Pay code distribution between both systems matches, or anomalies are flagged with the specific pay code and employee group affected.
5. Log and Categorize Every Discrepancy

Record each mismatch in a drift log. For every discrepancy, capture:
- Employee name and ID
- Pay period
- Field affected (hours, pay code, cost center, employee record)
- Expected value (from the time tracking system)
- Actual value (from the payroll platform)
- Category: timesheet error, field mapping error, rule configuration error or employee data error (new hire, termination, transfer)
The drift log is not optional. It serves three purposes: it guides immediate resolution before payroll processing, it creates an audit trail for compliance review, and it reveals patterns. If the same field drifts in three or more consecutive pay periods, the root cause is systemic and requires a targeted reconfiguration using Procedure 3 rather than a per-period correction.

6. Resolve or Escalate Each Discrepancy Before Processing Payroll

Address every entry in the drift log before payroll runs:
