Native Integration

A native integration is a direct, built-in data connection between a time tracking application and QuickBooks that uses Intuit's official API without a third-party middleware layer, enabling automatic field mapping, real-time sync and error handling within a single authenticated session. Native integrations maintain a persistent OAuth token with QuickBooks, meaning sync runs automatically at configurable intervals without user action.

Third-Party Connector

A third-party connector is middleware software, such as Zapier or Workato, that bridges a time tracking application and QuickBooks when no native integration exists, typically by polling, transforming and pushing data on a scheduled or trigger-based basis.

Third-party connectors introduce an additional failure point: if the middleware service experiences downtime, payroll data stops flowing even if both endpoints are operational.

Web Connector

The QuickBooks Web Connector is a Windows-based application published by Intuit that allows third-party software to exchange data with QuickBooks Desktop by running scheduled SOAP-protocol sync sessions on the local machine where QB Desktop is installed.

Web Connector requires the QB Desktop company file to be open during sync, a common operational constraint that causes missed syncs in unattended environments.

IIF File

An IIF (Intuit Interchange Format) file is a tab-delimited text file used to import time, payroll and transaction data into QuickBooks Desktop when a direct API connection is unavailable, requiring the exporting system to format data precisely to Intuit's field schema.

IIF import errors are silent by default in QB Desktop; a malformed row is skipped without an error message, making reconciliation essential after every import.

Scheduled Sync

An approved hours batch is the finalized set of employee time records for a pay period that have passed managerial review and are locked for payroll processing, representing the authoritative data set sent to QuickBooks at period close. Timesheet Export File

A timesheet export file is a structured data file, typically CSV, XLSX or IIF format, generated by a time tracking system to transfer approved employee hours into QuickBooks or another payroll platform when a native API integration is not available.

Export files require manual field-alignment to QuickBooks' import schema; a single mismatched column header can cause the entire import to fail silently in QB Desktop.

Pay Period

A pay period is the recurring time interval, whether weekly, biweekly, semi-monthly or monthly, over which employee hours are accumulated, approved and submitted to QuickBooks payroll for processing into paychecks or direct deposit disbursements.

QuickBooks payroll requires that the pay period dates in the time tracking system match the pay schedule configured in QBO exactly; a mismatch causes import rejection.

Job Code

In QuickBooks time tracking integrations, a job code is a labeled identifier assigned to a time entry that maps to a QuickBooks Customer:Job, Service Item or Class, enabling labor costs to be allocated to specific projects, clients or cost centers in reports.
